JOB POSITION: RECEIVING OFFICER
JOB DESCRIPTIONS:
1. Contribute to day-to-day efficiency of the section:
– Check invoice against purchase order/ purchase requisition, market list, grocery list or beverage order list for validity of the delivery
– Check the price, quantity and other specifications, and inspect the quality of the incoming goods
– Direct the delivery to the designated location
– Stamp and sign for receipt after the user department has received the goods and signed
– Prepare Receiving Record/ Summary and distribute it to the department concerned
– Prepare daily market food expense summary
– Prepare 10-day market food expense summary for payment
– Assist the Receiving Supervisor in preparing month-end reports to meet the reporting deadline
2. Follow the duty roster scheduled. Changes must be prior- approved.
3. Ensure all working equipments are in good condition, working place are clean and tidy.
4. Remind Suppliers, Kitchen staff to follow the uploading/ transferring guidance. All food to be put on to the plastic container/ shelf segregated by categories. Return the plastic containers right after usage.
5. Check invoice price, quantity and other specifications against the approved order form. Inspect the quality of goods and get consultation from Supervisor/ DH/ User department when doubtful.
6. When checking invoice, ensure the price and quality delivered cannot excess the quotation and order. Any change must be approved by relevant DHs.
7. Stamp and sign for receipt after the user department had received the goods and signed.
8. Daily market food to be all delivered starting from 7:30 to 10:00. A list of outstanding delivery items to be sent to Purchasing Dept. then feed back to the Chef before 12:00.
9. Consult the Supervisor/ DH those deliveries not following the hotel P&P.
10. Accomplish all the Daily Receiving Report and pass to the Supervisor to double check and prepare the Daily Receiving Summary of that day. Distribute other copies to the department concerned.
11. Prepare the 10-day Market Food Expense Summary. Pass to the Supervisor to double check and then send to Account Payable for payment.
12. Allocate the cost of flower arrangement by outlets for the month according to the flower shop report.
13. Assist the Supervisor to finish the Monthly Reports on scheduled time.

JOB REQUIREMENT:
1. Education:
– Diploma or Vocational Certificate in Accounting or Business Administration or related field.
2. Service years in the field : NA.
3. Knowledge and skills:
– Demonstrated ability to interact with customers, employees and third parties that reflects highly on the hotel, the brand and the Company
– Proficient in the use of Microsoft Office
– Language: Able to read and write English
4. Preferred (if required): MC system.
